Meeting to Tasks

Every call ends with tasks in the right tool under the right owner. Nothing dies in a transcript.

What it owns

Meeting to Tasks takes ownership of everything in the capture, transcribe, parse tasks, task destination pipeline. Rather than a collection of separate automations pointing at each other, the module treats those steps as one continuous system with a shared data layer, a shared alert layer, and a single ops dashboard surfacing the health of every run.

The one template inside the module are pre-wired and adapted to your exact stack during the build engagement. Every tool surface ships with documented alternatives, so you are never locked to a specific vendor. Swap the LLM, swap the scheduler, swap the delivery tool, and the rest of the wiring stays intact.

When the module is live, the ops dashboard gives your team visibility into run counts, error rates, and last-triggered timestamps for every surface. Problems surface before clients notice. Fixes land without a code deployment.

Real-world use cases

Who actually runs this, and what changes for them.

Agency account team running 12 client calls a week

Every call ends with promises. Half of those promises live in someone's head until next Friday.

Before

The AE writes notes during the call, forgets one, follows up two days late, and the client has already noticed.

After

The transcript lands in Notion as a page. Action items are rows under the right project, owners assigned, due dates set. Slack pings the owners. Nobody has to remember to do anything.

Founder running a remote team across three time zones

You take six 1:1s a week. The notes from each one are scattered across Loom comments, Notion, and your own brain.

Before

You start every 1:1 by re-reading old notes. Half the time you miss what the report needed last week.

After

Each 1:1 ends with a clean rolling document per report. Last week's commitments are checked. New ones are captured. You walk into the next call already in context.

Compliance consultancy with regulated client meetings

Every client call has compliance-sensitive commitments that have to be tracked.

Before

Tasks live in a spreadsheet someone updates manually. Audit trail is spotty.

After

Every transcript is parsed, owners assigned, and the audit log is generated as the meeting ends. Already used inside Arcus Compliance for that exact reason.

What changes for your team

  • "What did we decide?" Slack threads stop happening.
  • New joiners can read three months of meeting outcomes in one place instead of asking around.
  • The follow-up email writes itself from the action-items list, so nobody has to manually summarise.
  • You can search every commitment ever made on a client account in one query.
